Administrative Assistant

CORE RESPONSIBILITIES

The position of Administrative Assistant is responsible for administrative support of the professional staff, management of building usage, production of church publications, and maintaining the church website and church data base as instructed.

1. General Office Duties

a) Greet and assist church members and visitors in person and on the phone;

utilize voice mail messaging with regular checking of voice mail.

b) Sort and distribute mail.

c) Conduct communications around church business using e-mail, faxing as required, and

photocopying for staff, Mission Board, and committees as requested.

d) Inventory and order office and church supplies.

e) Update official files, data base – using Church Management System (CSM), filing system, and

office procedures. Document office procedures.

f) Maintain photo files.

g) Adhere to Safe Church Policies.

2. Website Content Maintenance

a) Maintain and update website with input from Lead Minister and Mission Board.

3. Church Publications and Communications

a) Prepare, print, and assemble the Sunday Order of Worship weekly, including inserts and

large-print copies. Maintain and recycle files of Order of Worship, Church Life, and special

services on a regular schedule.

b) Update and maintain all church calendars. E-mail weekly calendar of church activities to

the congregation.

c) Prepare and, with the help of church volunteers, mail the church newsletter.

d) Upon the direction of the lead minister, arrange for church advertising for holidays and

special events. Create posters and special inserts for use within the church.

e) Update and arrange for printing of church brochures, flyers, business cards, and other similar

types of publications as needed.

f) Maintain record of hymns, used during worship, in administrative hymnal.

g) Edit new songs and place in worship binders.

4. Building Management

a) Manage the use of the church building

–  by members and community groups

–  for weddings, memorial services, and other events

Skills required:

– Computer skills (Word, Excel, Publisher, Power Point, Outlook) and know how to work

with website management.

– Excellent interpersonal verbal and written communication skills.

– The ability to recognize and respect confidential matters.

– Graphic design experience is a plus.

Reporting:

Directly to the Lead Minister

Schedule:

Monday to Friday, 9 am to 3:30 pm, with ½ hour lunch break (unpaid)
